What Atheena does with your Google account
You sign in to Atheena with your phone, or with Google. Signing in with Google asks only for your profile and permission to read Gmail. The agent's other permissions are asked for when you connect an account from Settings, so it can act for you. If you would rather Atheena only read, choose "Connect read-only" beside the button there. You can leave any of them unticked, and Atheena does less.
| Permission | Why Atheena asks for it | When it is used |
|---|---|---|
| Name, email address and profile picture | To create your Atheena account and show who is signed in. | At sign-in |
| Gmail: read | To find todos in new email, and to show the email thread next to the todo it came from. Atheena may keep short details it reads here (a booking's place and dates, who a person is to you, an address your orders go to), including from the text of the mail you send, in your profile, so it knows them later (how). When you ask it for your passport or another ID number from your mail, it may keep that as a document of yours, encrypted and shown only by its last four characters (how). | At sign-in, then continuously for accounts you connect |
| Gmail: draft and send | To write and send replies for you when you ask the agent to handle a todo. | Asked when you connect the account from Settings, unless you choose read-only. Used only when you ask |
| Google Drive, Docs and Sheets | To create Docs and files in your Drive when a task needs one (a summary, a file you sent Atheena), and to read and edit the files Atheena created. Google's permission for this covers only those files: Atheena cannot see, open or change anything else in your Drive. Atheena may keep short details it reads in its own files (a booking's place and dates, who a person is to you) in your profile, so it knows them later. | Asked when you connect the account from Settings, unless you choose read-only. Used only when you ask |
| Google Calendar events | To suggest todos from your next seven days (an invite to answer, a meeting to prepare for), and to create events and answer invitations you ask for, such as booking a meeting you agreed to. Atheena may keep short details it reads here (a booking's place and dates, who a person is to you, an address your orders go to), including from the text of the mail you send, in your profile, so it knows them later (how). For that it also reads your events up to 60 days ahead. | Asked when you connect the account from Settings, unless you choose read-only. Upcoming events are read in the background; changes only when you ask |
Atheena does not sell your data, use it for advertising, or use it to train AI models. Its use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
You can disconnect an account in Atheena's Settings or revoke access from your Google Account at any time. The Privacy Policy has the details.
A Google account connected through Composio
Some Google accounts are connected through Composio, a service that holds the access for Atheena under Composio's own Google app: Google's consent screen then names Composio. Google grants Composio's app wide access to Gmail; Atheena uses only what the table below says.
| Permission | Why Atheena asks for it | When it is used |
|---|---|---|
| Gmail: read, draft and send (through Composio) | To find todos in new email, show the thread next to its todo, keep short details in your profile as for any connected Gmail, and draft and send replies when you ask. Google's consent screen says this access could also delete mail: Atheena has no feature that deletes, archives or relabels mail. | Asked when you connect the account from Settings. Mail is read every 10 minutes by day and every 30 at night (less often in a very busy month), and up to 12 months back when it is first connected; drafts and sends only when you ask |
| Google Calendar events (through Composio) | To suggest todos from your coming events and to create events and answer invitations you ask for, as for any connected calendar. | Asked when you connect the account from Settings. Read every two hours and after an invitation arrives; changes only when you ask |
| Google Drive, Docs and Sheets (through Composio) | To create Docs and files when a task needs one, and to read and edit the files Atheena created. Google limits it to files created or opened through Composio's app: the ones Atheena created, and any another service that uses Composio created or opened for you. | Asked when you connect the account from Settings. Used only when you ask |
| Your email address (through Composio) | To know which Gmail address was connected. | When you connect the account |
Atheena's requests to Google and Google's answers, which include the text of your mail, pass through Composio. The Privacy Policy says what Composio keeps.
What Atheena does with your Microsoft account
An Outlook or Microsoft 365 mailbox is a separate connection you make from Settings. Connecting one asks for everything in this table in one step: to read its mail and its calendar, and so the agent can draft and send mail from the mailbox, look up its contacts, manage its calendar and work on the files in its OneDrive, when you ask it to. Microsoft asks you to approve those together. If you would rather Atheena only read, choose "Connect read-only" beside the button: that asks only to read the mailbox's mail and calendar. The rest is then optional, and you can add it later for that mailbox from Settings.
| Permission | Why Atheena asks for it | When it is used |
|---|---|---|
| Name, email address and staying connected | To know which mailbox was connected, and to keep reading it without asking you to sign in to Microsoft again. | When you connect the mailbox |
| Outlook mail: read | To find todos in new email, and to show the agent the conversation a todo came from. Atheena may keep short details it reads here (a booking's place and dates, who a person is to you) in your profile, so it knows them later. When you ask it for your passport or another ID number from your mail, it may keep that as a document of yours, encrypted and shown only by its last four characters (how). | When you connect the mailbox, then continuously |
| Outlook calendar: read | To suggest todos from your next seven days: an invitation to answer, a meeting to prepare for. Atheena does not change your calendar with this permission. Atheena may keep short details it reads here (a booking's place and dates, who a person is to you) in your profile, so it knows them later. For that it also reads your events up to 60 days ahead. | When you connect the mailbox, then in the background. A mailbox connected before calendar todos existed gets this with its Connect button in Settings. |
| Outlook calendar: create, change and answer | To answer an invitation, create an event, or change one you organize (its title, time, place, description or guests), when you ask the agent to. Microsoft's permission for this also lets Atheena read the next seven days of the calendar, to suggest todos, and events up to 60 days ahead, to keep in your profile, and also allows deleting events; Atheena has no feature that does. | Asked when you connect the mailbox, unless you choose read-only, or later for that mailbox from Settings. Used only when you ask. Reading the next seven days for todos then runs in the background. |
| Outlook mail: draft and send | To write and send replies from that mailbox when you ask the agent to handle a todo. Microsoft's permission for saving drafts also allows changing and deleting mail; Atheena has no feature that does either. | Asked when you connect the mailbox, unless you choose read-only, or later for that mailbox from Settings. Used only when you ask |
| OneDrive files: read, create, change and delete | To find and read files in your own OneDrive, create new ones, edit a Word document, edit an Excel workbook on a work or school account, and move a file to the recycle bin, when you ask the agent to. Microsoft's permission for this covers every file in your OneDrive; Atheena opens only the files a task needs, does not keep a copy of them, and has no feature that deletes a file for good, empties the recycle bin, shares a file, or opens or changes files other people shared with you: a search can list those by name, and nothing opens or changes them. | Asked when you connect the mailbox, unless you choose read-only, or later for that mailbox from Settings. Used only when you ask |
| Outlook contacts (read only) | To find the right email address for someone you name. | Asked when you connect the mailbox, unless you choose read-only, or later for that mailbox from Settings. Used only when you ask |
You can disconnect a mailbox in Atheena's Settings, or remove Atheena's access from your Microsoft account or your organisation's My Apps page, at any time.
